The role will require strong analytical and communication skills and the post holder will use their expertise to support improvements and efficiencies in current processes, manage data collection processes for external submissions such as REF, produce reports and raise awareness of research and innovation processes through the delivery of appropriate training. The key to the success of this post will be the ability to forge close and pro-active working relationships with a range of academic and professional services staff across the University.
The post holder will be responsible for coaching research active staff on REF criteria and compliance and other external benchmarks as appropriate:
Work as part of the University Research and Knowledge Exchange Office (URKEO) Team to build relationships with key stakeholders such as PVC Deans and research leads internally and externally. Ensuring compliance with external submissions e.g. REF 2021 and REF 2026.
Excellent organisational skills and experience of designing administrative procedures and processes that enable URKEO to meet external benchmarks and submissions e.g. REF submissions.
A subject matter expert on REF metrics and audit requirements and use the expertise to influence PVC Deans and research leads to adopt compliant practices.
Excellent attention to detail to assure data for external submissions.
To design procedures that collect appropriate data for REF and analysing the data to produce quarterly reports to URC.
To support the development, delivery and maintenance of URKEO’s research management systems and interfaces. The job holder will need to ensure the research repository and REF aspects of phase 2 of the CRIS system are appropriately planned and implemented by September 2021.
To write and present reports on REF and other key URKEO processes and procedures through the University’s deliberative structure, in particular URC.
To regularly solicit feedback on operating procedures to ensure issues are captured, and that development opportunities for future enhancements to processes and guidance are optimised, liaising with stakeholders as appropriate to optimise the use and benefit of such systems.
To contribute to the development and delivery of research management system training materials in consultation with relevant URKEO colleagues. To support the URKEO SLT in continuously improving the services provided by URKEO, making suggestions for improvement and proactively to implement service, process and documentation improvements.
To engage with external research management associations (e.g. ARMA) to gather and maintain sector intelligence and to act as one of the main contacts for ARMA, representing URKEO on the ARMA research office working group.
Maths and English (or Equivalent) GCSE
Experience in an office environment
Proven ability to coordinate/manage resources, following a plan and deploy in a timely manner
Demonstrable success in being able to operate as a team player whilst equally able to operate independently
Knowledge of REF
Excellent administrative and coordination skills
Ability to use data and information effectively to set and monitor delivery objectives
Skills, knowledge & abilities
Excellent communication skills, written and verbal with the ability to synthesise data to support reports and presentations
Ability to identify and anticipate problems, taking the necessary actions to escalate and resolve
Ability to demonstrate the building and maintaining of strong working relationships with stakeholders at all levels within an organisation
Proven experience in successfully supporting a team to deliver effectively
Ability to work flexibly
Studying for or achieved a recognised research administration qualification or comparable knowledge gained through experience
Demonstrable experience of coordinating a REF submission or equivalent
Experience of coordinating multiple activities at the same time
Experience of working with industry stakeholders, excellent client relations
Working knowledge of REF and the external landscape that falls within the remit of a research office
Skills, knowledge & abilities
Able to produce written reports to a high standard that include appropriate data analysis
Excellent knowledge of administrative support processes and activities e.g. business systems, finance, procurement, HR
Able to deliver awareness training of key criteria and requirements on key submissions such as REF
